On his Dynamics GP Essentials blog, Mahmoud M. Alsaadi recently wrote about how you can use the new workflow engine in Microsoft Dynamics GP to create a tailored workflow for receivables batch approval. In previous articles, he also discussed vendor card approval and payables batch approval. Workflows tailored to your specific needs can help you better manage batch posting processing.
To set up a receivables batch approval workflow, go to Microsoft Dynamics GP > Tools > Setup > Company > Workflow > Workflow Maintenance. In the Sales series, there is one predefined workflow, “Receivable Batch Approval.” The old batch approval process, requiring an approval password, is still there. You can activate a new receivables batch workflow, or keep the old one with the password approval approach.
The Receivables Batch Entry window shows the workflow status on the new workflow bar, and includes workflow buttons such as Approve, Reject, Recall, and Submit. The workflow history shows the steps and approval history for a specific batch.
Throughout a batch approval, a batch can be edited, deleted, and posted. You can add transactions to a batch for which the workflow has been completed, which will require a recall, and then the batch will go through the approval process again. A warning is displayed by Microsoft Dynamics GP when you attempt to add a transaction to a batch for which the workflow has been completed.
Throughout the approval process, a batch can be deleted. The Post button will be displayed only when the batch has completed all required approvals. When a batch is posted, it can be reused again. For more details and for screenshots, see the linked article.
